Special Meeting and Vote November 1 & 2
As you are aware, for the past several months the Association’s Board of Directors has been investigating the feasibility of constructing a community swimming pool.  At an informational meeting held on September 25th, over 100 people met to discuss and comment on a proposal to build a community swimming pool.  The Board of Directors would now like to place the issue of providing funding for a community swimming pool to a vote of the Association’s membership.

A Special Meeting will be held on Saturday, November 1st and Sunday, November 2nd to provide members an opportunity to vote on a proposal to levy a Special Assessment in the amount of $2,000 on each Lot in Fairfield.  The Special Assessment will become due on January 1, 2015.  However, members may satisfy their obligation to pay the Special Assessment by making eight quarterly payments of $250.00 each with the first payment being due on January 1, 2015 and the final payment being due by October 1, 2016.

Funds generated through the Special Assessment will be used for property acquisition, design, and construction of a community swimming pool and related facilities, as well as the collection of special assessments.  Upon the completion of construction and collection of all special assessments, any unspent funds will be placed in a reserve fund for future capital improvements to the swimming pool facility.

The meeting will be called to order on 9:00 am on Saturday, November 1st near the intersection of NE 116th Terrace and N. Harrison Street.  A tent will be set up at the meeting location in the event of inclement weather.  The meeting will remain in session until 4:00 pm.  At that time, the meeting will be adjourned, and will re-convene in the same location at Noon on Sunday, November 2nd and remain in session until 4:00 pm, at which time the meeting will close.

At the meeting, members must register their attendance.  A Photo ID will be required to demonstrate sufficient evidence that the individual wishing to cast a vote is a member of the Fairfield Homeowners Association.  Following registration, the member will be issued a ballot and may vote either in favor of, or in opposition to the Special Assessment. View the Sample Ballot here.

In order to proceed with the construction of a community swimming pool, at least
75% of those in attendance at the Special Meeting must vote in favor of the Special Assessment.  Fairfield’s governing documents do not permit proxy, mail-in, or absentee voting.  Therefore, members MUST be present at the special meeting in order to vote.  One vote may be cast for each Lot.
